Job Title: PROGRAM ASSISTANT

Reports to: Direct to Chief Financial Officer, Indirect to President
POSITION PURPOSE
To provide program and administrative support to organization President and ancillary support to team of eight professionals.
PRIMARY ACCOUNTABILITIES
Administrative
• Answers the main telephone line and directs incoming calls to appropriate person. Answers general questions from the public.
• Maintains President’s calendar and schedules meetings.
• Organizes and maintains physical files of President.
• Coordinates President’s travel arrangements and prepares expense reports.
• Provides minor administrative support for other staff including scheduling departmental meetings, relaying messages, etc.
• Types and distributes documents.
• Coordinates mass postal and electronic mailings.
Trade Missions and Trade Shows
• Coordinates logistics for trade missions including registrations, obtaining visas and arranging travel for participants.
Website and Database
• Maintains regional website-based calendar of events.
• Acts as liaison with external technology vendors to maintain and develop website and contacts database.
WTCA Membership
• Manages membership services: WTCA interface, service requests from members and sends all correspondence to members.
SECONDARY RESPONSIBILITIES
1. Interface with support services of the Delaware River Port Authority (DRPA) (Mailroom, IS, Printing, etc.)
2. Know the complete range of WTCGP services and programs.
3. Attend all WTCGP staff meetings and events as necessary. Contribute to staff skill development by sharing experiences, ideas, and knowledge of international strategy development.
4. Perform all other duties as required by the World Trade Center of Greater Philadelphia.
SUPERVISORY RESPONSIBILITY
This position has no supervisory responsibilities.
EDUCATION AND EXPERIENCE
• Bachelor degree. International experience preferred.
• Minimum of one year of similar experience.
• Strong interest in international affairs and economic development.
• Excellent organizational skills required.
• Professional demeanor.
• Excellent Microsoft Office® and database skills required. Demonstrated aptitude for information systems and website development.
